When you get a new computer for your small business, startup or non-profit there are a lot of steps to get it ready to use. This checklist will ensure you remember to do all the important steps.
1. Unbox and assemble the computer (connect the monitor, keyboard, mouse, and power cables). Test the hardware (e.g., keyboard, mouse, microphone, speakers, webcam)
2. Power on the system and follow the operating system’s initial setup process (e.g., Windows, macOS).
3. Create an admin user account with a strong, unique password.
4. Set the correct time zone, language, and region.
5. Connect to Wi-Fi or wired network for internet access.
6. Activate Windows or macOS using your product key or linked account.
7. Check for system updates and install any available updates for the operating system.
8. Enable the built-in security protection (e.g., Windows Defender, macOS Security).
9. Enable the built-in firewall.
10. Enable full disk encryption (BitLocker on Windows or FileVault on macOS.
11. Set up multi-factor authentication (MFA) for accounts and services that support it (email, cloud storage, etc.).
12. Install email client (e.g., Outlook, Thunderbird, or use web-based email) and sign in to your email accounts.
13. Install and sign in to your communication tools (e.g., Slack, Zoom, Teams, etc.).
14. Install productivity software (e.g., Microsoft Office, Google Workspace, or other suite depending on your business needs).
15. Install any other business-specific software (e.g., CRM tools, ERP systems, etc.).
16. Sign into your cloud storage accounts (e.g., Google Drive, OneDrive).
17. Set up additional user accounts if others will use the computer (assign standard or admin privileges as appropriate). Create a note with login credentials for key accounts (store securely or in a password manager).
18. Set up printers and scanners (install necessary drivers and test functionality).
19. Set up user preferences (e.g., desktop background, screensaver, system sounds).
20. Adjust power settings for energy efficiency (e.g., screen sleep, sleep mode, etc.).
21. Transfer important files from old devices, external drives, or cloud storage. Check that all files are properly migrated (documents, emails, etc.).
22. Test the software to ensure it runs as expected (e.g., open all critical applications).
